Privacy Policy for EstateFlow

Welcome to EstateFlow (the “App”, “Service”, “we”, “us”, “our”). We are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and related services (the “Service”). Our Service connects users (“Users”, “you”) seeking properties to rent (“Tenants”) or purchase (“Buyers”), with users listing and managing properties for rent (“Landlords”) or for sale (“Sellers”).

Please read this privacy policy carefully. If you do not agree with the terms of this privacy policy, please do not access the application.

We reserve the right to make changes to this Privacy Policy at any time. We will alert you about any changes by updating the “Last Updated” date of this Privacy Policy.


1. Information We Collect

We may collect information about you in a variety of ways. The information we may collect via the Application includes:

A. Personal Data Personally identifiable information you voluntarily give to us when you register and use the Application. This includes your name, email address, phone number, and profile picture. The specific information collected may differ based on the actions you take, such as listing a property, applying for a unit, or submitting a review. We may also store an array of roles (e.g., “landlord”, “tenant”) on your user profile to provide the correct user experience.

B. Financial Data for Paid Services We do not directly collect, store, or process your sensitive financial information like full credit or debit card numbers.

All payment transactions for our paid services (such as Landlord Subscriptions or property promotions for Sellers) are handled by our secure third-party payment processor, Paystack. When you add or update your payment method, you are providing this information directly to Paystack. We strongly encourage you to review their Privacy Policy.

For the purpose of managing your recurring subscription or processing payments, we receive and store a non-sensitive, secure authorization token from Paystack, along with non-sensitive details like your card brand and the last four digits of your card number.

C. Location Data We may request permission to track location-based information from your mobile device to provide location-based services (like showing properties near you). We also collect location information (City, Country, Address, GeoPoint coordinates) that you provide when listing a property. You may change our access to your device’s location in your device’s settings.

D. Data From Social Networks User information from social networking sites, such as Google, including your name, email address, and profile picture, if you choose to register or log in using your social network account.

E. Mobile Device Access We may request access to your mobile device’s camera and photo storage to allow you to upload profile pictures or media for your property listings. You may change our access permissions in your device’s settings.

F. Property and Tenancy Data We collect information you provide when you list a property (e.g., details, amenities, rules, pricing, listingStatus) or when you become a tenant in a unit (e.g., the details of your rentedUnits array, including your landlordId and the landlord’s account status flag).

G. Communication Data We collect information you provide when you use the in-app communication features, including the content of chat messages, maintenance requests, and reviews.

H. Derivative Data Information our servers automatically collect when you access the Application, such as your IP address, device type, operating system, and access times, primarily through services like Google Analytics for Firebase.

We may partner with third-party vendors, such as Google Analytics for Firebase, to allow tracking technologies on the Application. We do not transfer personally identifiable information to these third-party vendors. You are encouraged to review their privacy policies.

7. Your Data Protection Rights (Kenya DPA, 2019)

Under the Kenya Data Protection Act, 2019, you have the right to access, rectify, erase, restrict, and object to the processing of your personal data, and the right to data portability. To exercise these rights, please contact us using the information below. You also have the right to lodge a complaint with the Office of the Data Protection Commissioner (ODPC) in Kenya.

As a user of EstateFlow, you have the right to review, change, or terminate your account at any time.

How to Request Account Deletion

You can request the deletion of your account and data through one of two methods:

  1. In-App Deletion: Navigate to the ‘Settings’ section within the app, select ‘Account’, and choose the ‘Delete Account’ option.
  2. Web Request: If you cannot access the app, you can send an email directly to our support team at estateflowapp@gmail.com. Please use the subject line “Account Deletion Request” and include the email or username of the account you wish to delete.

The Deletion Process

Upon your request to terminate your account, we will deactivate or delete your account and associated information from our active databases. This includes your user profile, app settings, and any content you have created (e.g., property listings, tenant requests, etc.).

Please note that we may be required by law to retain certain information for a longer period (e.g., for financial records, fraud prevention, or to enforce our Terms of Service). Any such information that is retained will be anonymized where possible and securely stored.
